We Have a Meeting Recorder

This month’s good news comes in the form of Robert West, who stepped forward at last month’s general meeting to fill the vacant and very necessary meeting recorder position. I met Robert for the first time last month when, in desperation, I gently called out to the small crowd that had gathered in front of the volunteer table, “Would anyone like to fill one of our empty volunteer positions?” Robert paused, and then fearlessly stepped up to the table where I was setting up information materials. We discussed the job, and then introduced him to Larry Clark and Frank Leonard for a briefing on job responsibilities and requirements. Mary Lint helped by showing Robert how to setup and use the equipment to be ready to go before the meeting started. All in all, it was a great volunteer effort by everyone involved—thanks for your assistance.
    Edwin Holloway has taken over the position of lead meeting reporter. Not to be confused with the meeting recorder, the lead meeting reporter silently roams through the meeting rooms before, during and after our general meeting looking for SPCUG news and vendor information. He then compiles that data, and the finished product appears in Sacra Blue and eBlue. At the last meeting, I found Edwin seriously taking notes at the volunteer table.
    Brian Lavender has joined the volunteer force by becoming our new Linux SIG. Brian has also joined the Trade Show Committee—his first project will be helping man our booth at the Government Technology Conference next month.
    We are still looking for a new Sacra Blue editor to take over where Eric Butow is leaving off. Eric has been doing an excellent job for over two years now, but is growing weary and needs a replacement on board so he can train his replacement to take over in July. Please ask your friends if they have any experience in newsletter production—this can be a very good opportunity for someone looking for valuable writing and editing experience. Also, we still need an associate editor and several meeting reporters. Please help us out with these, if you have some time!
    I am sure you will find volunteer work for the group very rewarding, and it could even create some interesting opportunities for you. You may be surprised how little time is involved in some of the positions that hold great benefit for the group. Please take a look at the job openings below. Sacra Blue Editor: Our newsletter editor puts together the newsletter every month under a strict production cycle. This includes acquiring articles, artwork, and photos, editing the final layout of the newsletter, supervising the proofreading and editing process, printing out the master copy of the newsletter, delivering the master copy to the printer, and preparing copy for eBlue.

Sacra Blue Associate Editor: The newsletter’s associate editor performs newsletter duties delegated by the editor to make the editor’s life a little easier.

Product Review Coordinator: The product review coordinator receives software and books, maintains a status list of the available and delivered products, and disburses these same software and books to members in exchange for a product review to be submitted to the editor for publication.

Meeting Reporters: Meeting reporters transcribe audiotapes of the meeting to the lead meeting reporter, who edits and forwards them to the editor for submission in the newsletter. Several reporters are usually needed to cover the entire evening’s meeting, and quick turnaround is a must.

Advertising Manager: The newsletter’s advertising manager manages a database of advertising activities, the activities of advertising representatives, answers advertiser questions and concerns, and works with the editor to formulate advertising policies and strategies. The ad manager sends the editor a list of advertisements every month for inclusion in the newsletter and an updated database for various officers so we can keep track of advertising income.

Advertising Representatives: Advertising representatives canvass the Sacramento area (and beyond) to obtain local advertising for our newsletter. Representatives approach potential advertisers using telephones, fax machines, e-mail, and even in-person visits. Representatives also keep in close contact with the advertising manager. Selling ads for our newsletter takes a few hours a week.

Training Media Librarian: We need a training media librarian to take over from Chuck Benward, who started the training media library for members to loan educational videotapes, CD-ROMs, and disks. Responsibilities include keeping a database of materials, finding new material for the library, reporting in our newsletter, transporting the material to and from general meetings, and manning the training media library table at general meetings. We need at least one person to help build on what Chuck started so we don’t lose this important membership benefit.

Educational Outreach Coordinator: We need someone to recruit and coordinate campus ambassadors at our local colleges and universities to tell faculty and students about us. Educational institutions and SPCUG are natural partners, but we need the people to forge relationships with our local colleges and universities. This position will also involve other educational learning facility levels and institutions.

Trade Show Committee: The group participates in several local trade shows and fairs throughout the year, and we regularly need people to help staff our booth and tell visitors about our group. If you’re interested, contact Frank Leonard; his information is on the inside back cover.
